Position Summary

The Program Manager for the Office of Field Education at the Graduate School of Social Work performs a broad range of management, supervisory and communication duties related to the Field Education Program. The Program Manager reports directly to the Assistant Dean of Field Education and is an integral part of collaboration and planning on the Field Education Team of six clinical faculty members, three staff members and forty-plus adjunct field faculty members. The Field Education Program coordinates student internships in community organizations and engages students simultaneously in both classroom and practice learning during the academic year. The program serves over 600 students and over one thousand community contacts in organizations that provide internships. Internship sites are located throughout Colorado, including distance education sites, and abroad.

The Program Manager is responsible for the coordination and organization of these constituencies and supervision of the day-to-day operations of the field office with direct supervision of a full time administrative assistant and up to 8 work study students. The Program Manager must be able to operate with a high-level of independence as well as collaborate with faculty in program development, and must be detail oriented, forward-thinking and flexible to meet the needs of an evolving program. The Program Manager must initiate and develop processes that are efficient, accommodate growth and meet the needs of all constituencies. The field education office operates year-round to meet the needs of community members that partner with the university and incoming students searching for internships prior to the academic year. The field office is a high-traffic environment that requires a manager that can simultaneously serve students, community members and faculty.

Duties include developing and implementing administrative procedures and processes; managing the field office; serving as a university representative to community contacts; planning and executing all field education program events; communicating procedures and processes to community contacts and students; serving as a communication link between the various constituencies associated with the Field Education Program; database management; and providing support to the Field Education faculty.

Essential Functions

Supervision and Management

  • Supervise the full-time Field Assistant and up to eight work study students per year for approximately six hours each per week in the Field Office.
  • Directs the maintenance and inputting of student placement and field agency information utilizing computerized databases, spreadsheets, and online applications on a daily basis to provide accurate, current, information.
  • Manage processes and procedures regarding contracts and liability between the University of Denver and community agencies in coordination with University Counsel and Risk Management.
  • Collaborate with the Assistant Dean of Field Education, Associate Directors of Field, GSSW Registrar and Director of Enrollment Management to develop processes, forms and materials for incoming and current students. Develop and maintain online resources and online forms for students using University of Denver web-based applications related to field education.
  • Lead the collaboration with and serve as liaison to the Office of Teaching and Learning (OTL) to continually enhance and improve the web-based "GSSW Internships" database and other online applications to accommodate growing program. Utilize data from Banner software to verify demographic information on students. Perform a variety of audits using reports from the database and Banner to ensure the accuracy of the data and to avoid duplication.
  • Manage requests for data and produce reports and data to summarize and represent the work with students and agencies in the field program.
  • Oversee the distribution and collection and quarterly field evaluations.
  • Assist Assistant Dean for Field Education in managing budget for field program and events.
  • Assist the PROGRESS Program Coordinator in tasks related to the PROGRESS Program, including communication with students, event planning and preparation.

Manage Communications

  • Oversees timely and accurate communication with all field constituents, by developing processes to ensure a 24-hour response time by the Office of Field Education, including the work of the Field Assistant and Work-Study Students.
  • Annually oversee the revision and production of the Field Manual and field education pages on the GSSW website. Collaborate with the Assistant Dean for Field Education and Director of Communications in writing, formatting and updating the Field Manual and website.
  • Lead the planning, implementation and marketing of all field related meetings and events, including, but not limited to: annual Field Internship Fair with community partners, quarterly Field Advisory Board meetings, biweekly Field Supervisor trainings, quarterly Field Liaison Meetings, varied student orientations and an annual appreciation event.
  • Oversee and ensure the communication of policies and procedures to students, agencies, field supervisors, field liaisons, faculty and staff. Serve as information resource to faculty and staff concerning field placement information.

Community Engagement

  • Present at events and meetings at GSSW as well as with other DU programs regarding field program information.
  • Serve externally as a representative of the field program with agencies and other community partners including presenting about the field program.

  • Proficient in Microsoft Office suite.
  • Experience with or ability to quickly learn and use a variety of computer programs, including data management systems, Adobe Acrobat, and data collection systems such as Qualtrics.
  • Demonstrated commitment, knowledge and ability to effectively engage individuals from broadly diverse communities.

Required Qualifications

  • Bachelor’s degree.
  • 5 years of progressive administrative experience including at least 2 years of direct supervision or management experience.

Work Schedule

Monday - Friday, 8:00 a.m. - 4:30 p.m.
