Northrop Grumman Mission Systems is seeking an Administrative Assistant 1 supporting several important programs in Aurora, Colorado.
PRINCIPAL DUTIES INCLUDE:
This Administrative Assistant 1 position will be located in an unclassified area, no clearance required. This position is a support position for other administrative assistants on the Aurora campus.
This position will support multiple programs and a number of employees. Some working knowledge with Microsoft Office Products such as Word, Excel, PowerPoint and Outlook is necessary. Because this is an entry level position, the person must be willing to take direction well and be eager to learn new tasks. Must be a self-starter capable of independent work also. This person will be able to operate general office equipment such as copiers, scanners, fax machines, etc. Must have good written and oral communication skills.
In this Administrative Assistant role, the candidate will be required to learn the Concur Travel and Expense Reporting in-house software. This involves booking travel for teammates according to company policies. When they return from travel, they would create expense reports in a timely manner to reimburse the traveler for expenses incurred. Concur is also used to reimburse costs for food provided for business meetings.
The Administrative Assistant position requires catering skills such as planning meals, ordering food from caterers, meeting the caterers at the front guard desk to confirm food orders and delivering food to the meeting rooms. The candidate will ensure attendance sheets are available for the meeting participants to sign; they will clean up after the meeting and create an expense report for the purchased food. At times, the candidate may be asked to drive to a store to purchase bulk items such as bottled water, paper products, etc. or may be asked to pick up food at the restaurants that don't deliver.
Office moves are a function of the administrative staff. The candidate will gather the information for each individual office move, list all the equipment needed to move, enter this information into an Excel Workbook; enter the move tickets into the MYIT in-house application and confirm moves were completed. Responsibilities also include ordering additional computers, company cell phones, laptops, etc. using the MYIT software, when requested.
The Administrative Assistant position may also be tasked to help out with large campus events such as Engineering Week, Employee All-Hands meetings, STEM Camp activities, in-house training sessions in the training rooms, as examples. Some of the tasks for these events would be posting flyers of the events, typing up name tags, assembling meeting packets, helping with catering set-up and clean up, driving to pick-up food from places that don't normally deliver. Other miscellaneous tasks include setting up a coffee service for a program meeting, updating program telephone contact cards, booking conference rooms, making photo copies, faxing and scanning documents for the HR department during new hire orientations.
High School diploma or GED and some office experience required.
Being comfortable working in a fast-paced environment.
Strong organizational and interpersonal skills.
Ability to communicate effectively verbally and in writing with individual contributors.
Basic knowledge of MS Office products (Word, Excel, PowerPoint, Outlook mail/calendar).
Ability to learn new software applications.
Able to take direction well with an eagerness to learn new tasks.
Able to be a team player and willing to help other administrative assistants on campus.
Able to support multiple program activities simultaneously.
Experience with MS Office products (Word, Excel, PowerPoint, Outlook mail/calendar).
Current TS/SCI clearance or eligibility to obtain a clearance
